Manager of Retirement Services

Job Summary:

Leads team of retirement professionals to ensure client satisfaction. Provides client support with all aspects of engagement to include review of administration, related testing, government forms preparation and consulting for highly complex clients. Also provides staff technical training. Serve as the primary point of contact for Retirement Department new business, new client implementation and plan document preparation and restatement.

Position Responsibilities

Leadership

  • Manages and develops a high performing team through implementation of effective recruitment, training, performance management, mentoring, motivation and coaching.
  • Leads and engages employees in a positive and professional manner where inclusion and diversity of thought are leveraged for innovation and continuous improvement.
  • Works with employees to set and execute employee goals/objectives and learning plans.
  • Develops and maintains standards and process procedures that comply with legal regulations.
  • Leads process improvement projects and ideas and suggestions deemed necessary after review of internal procedures.
  • Responsible for training staff on new processes.

 Client Service

  • Reviews allocations and testing completed by Account Managers related to book of business.
  • Client relationship manager on own group of clients.
  • Reviews plan documents and provides guidance to plan sponsors.
  • Completes plan distribution and new loan processes including forms preparation and event review and approval.
  • Coordinates year end processing, including collection of plan financials and census data requests and annual notices as well as assistance with client calls/communications.
  • Consults on, recommends, and implements solutions to client issues, satisfaction, responses and any other items necessary to ensure client loyalty.
  • Maintains current awareness and understanding of legislative changes, IRS rulings, and expert opinions related to the processing of retirement plans as a member of our Compliance Team.
  • Researches new issues to determine their impact on plan qualification status.

 Sales and New Plan Implementation

  • Serves as the primary point of contact for Retirement Department new business
  • Builds strong relationships with financial advisors, product wholesalers, CPAs, attorneys, and potential clients
  • Collaborates with financial advisors to tailor retirement plan solutions that align with the specific goals and needs of the client
  • Prepares proposals requests from financial advisors, product wholesalers, CPAs, attorneys, and potential clients
  • Prepare new plan documents by reviewing client’s current plan documents, consult with the client and the client’s advisor as necessary, completing provision checklists, and clarifying amendments.
  • Reviews plan provisions which may include complex plan design consultation with plan sponsors and financial advisors to ensure accurate restatement and/or changes of retirement plan documents.
  • Conducts quality assurance reviews on retirement plan documents ensuring that all plan document requests are processed according to the company’s and the plan sponsor’s standards.
  • Leads the implementation phase for new client onboarding with support from financial advisors, product wholesalers and recordkeepers

 Key Requirements

  • Bachelor’s degree in business related field or combination of education and industry experience
  • Minimum of 5-10 years of experience with defined contribution 401(k) administration environment including experience in preparing, reviewing, and explaining qualified plan compliance testing and government forms filing
  • Minimum 5+ years of people management experience
  • Proven ability to utilize technical skills and available tools to solve compliance issues.
  • Self-motivated and driven to achieve sales targets and exceed expectations
  • Advanced knowledge of retirement plan regulations (ERISA and Tax Code)
  • Strong mathematical aptitude, specifically detailed financial reconciliation, and data analysis.
  • Exceptional oral and written communication, decision making, and conflict resolution skills.
  • Strong motivation, business judgment, critical thinking, and analytical skills.
  • Proven ability to coach cross-functional and geographically dispersed individuals and groups.
  • Ability to effectively partner and lead through change management
  • Must be able to successfully resolve escalated client and HR issues.
  • Must be able to successfully balance multiple projects concurrently.
  • Must possess a strong sense of client focus, fiscal responsibility, personal growth, professionalism, and a positive attitude.
  • Advanced level of Excel, and proficiency in Word and Outlook
  • ASPPA or CEBS certifications preferred
  • Experience in ftwilliam.com software a plus
